Remuneration: Depending on the professional background and experience.  Please note that this vacancy in located in Nigeria and is a locally recruited position with no international benefits. This is not a regular post but a type of contract specific to UNITAR.

Description:
Training and Capacity Strengthening for Sustainable development in the Niger Delta Region of Nigeria
Areas of Specialization:

Skills and Competencies expected from the individual:
Good understanding of the functions and organization of the work unit and good general knowledge of the organizational structure and respective roles of related units; good knowledge of relevant operational and administrative policies, processes and procedures, including records management/filing procedures, ability to apply good judgment in the context of assignments given.

Effective time management and ability to plan own work to meet designated deadlines. Good computer and interpersonal skills and ability to establish and maintain effective working relations with key Stakeholders in the UNITAR Project and ability to network with the internal departments within and outside UNITAR.

Responsibilities:
  • Preparation of budgets and support field operations at Training and Capacity Building workshops.
  • Follow up on all outstanding matters with UNDSS.
  • Processing of travel authorizations and travel claims for Staff and partners on various programmes.
  • Will provide administrative and logistics support to Staff and partners on various meetings and missions locally and internationally.
·         Assist with the schedule of training sessions, and booking / notifying all relevant parties.
  • Taking responsibility for ensuring all training rooms / venues, equipment, catering arrangements, and other requirements are booked up or cancelled in advance.
  • To take inventory of all office consumables and control the use of energy resources.
  • To record and account for all administrative and financial matters.
  • To liaise with Administrative/Finance Officer at the HQ on administrative and financial matters.
  • To liaise with Human Resource Officer at the HQ on HR matters as it relates to PHPO.
  • Follow-up on payment authorization/certification for staffs and vendors.
  • Records all income and expenditure, and monitors the financial status of PHPO.
  • Process payments to vendors and outside expertise.
  • Preparation of payment certification to UNDP and follow up with such payments.
  • Management of Imprest account
  • Conduct general administrative tasks as assigned by the Head of Nigeria Office.

Measurable outputs:
  • Effective delivery of a wide range of administrative and office support functions under moderate supervision.
Reporting structure: will report to the Head of UNITAR Office in Port Harcourt.
Performance indicators for evaluation of results:
  • Timeless reporting of Office finance status
  • Application of relevant policies, guidelines, procedures and processes in accomplishing the job

Competencies:

  • Professionalism – Good understanding of the functions and organization of the work unit and good general knowledge of the organizational structure and respective roles of related units; good knowledge of relevant operational and administrative policies, processes and procedures, including records management/filing procedures, ability to apply good judgment in the context of assignments given.
  • Planning & Organizing – Effective time management and ability to plan own work to meet designated deadlines.
  • Communications – Good computer skills; proficiency in using advanced functions on standard computer applications, e.g. word processing, spreadsheets, Internet desktop publishing, slide preparation, and other software applications, etc.); experience with website management applications is desirable.
  • Judgment – High level of judgment and discretion in accomplishing the job.
  • Teamwork – Good interpersonal skills and ability to establish and maintain effective working relations with key Stakeholders in the UNITAR Project and ability to network with the internal departments within and outside UNITAR.

Qualifications:

Education: A first-level university degree in secretarial Administration/Studies or Social Sciences.

Experience: A minimum of 3 years working experience in administrative and office support functions in a large organization; experience with an international organization is desirable. Proficient in Computer application skill.

Language: Ability to express oneself effectively in English language, both spoken and written.
